About the client

A multi-site clinic in Bristol needed patients to book without calling reception, and clinicians to see the same diary on the desk and on a phone.

Paper lists and a shared inbox were double-booking slots. The brief was a booking product that reception, clinicians and patients could all use, with a written scope for reminders and a clinician roster.

Project overview

We designed and built a booking platform: date and time selection, clinician choice, and a confirmation the clinic could stand behind.

The work covered the public booking flow, the staff diary, and a small set of operational reports. Integrations were limited to email and SMS reminders agreed in the scope.

Functionality

  • Patient booking by site, clinician and slot
  • Shared diary for reception and clinicians
  • Clinician profiles, credentials and availability
  • Email and SMS reminders on a written timetable
  • Move, cancel and report on bookings without a second system

Solution

  • Patients pick a site, a clinician where the clinic allows it, and a slot. The diary is the same record reception sees.
  • Clinician profiles, credentials and availability sit in one place. Reception can move or cancel a booking without a second system.
  • Reminders go out on the timetable in the scope. Failed sends are visible to staff, not silent.
  • The product is a web application with a layout that works on a phone at the desk. Source and hosting stay with the client under the contract.

Project results

One diary for patients, reception and clinicians.

Fewer double-booked slots from a shared inbox.

Reminders in the same product as the booking, not a separate mailbox rule.

A written scope for what was in and out before build started.

Customer review

“The diary is the same one reception sees. Patients book without calling, and we are not chasing a shared inbox for double-booked slots.”
